Effective:

SafeHaven Protection Inc. ("SafeHaven", "we"), 83 Clarence St. #3, Ottawa, ON K1N 5P5, protects personal information under the Personal Information Protection and Electronic Documents Act (PIPEDA), Quebec's Act respecting the protection of personal information in the private sector (as amended by Law 25), the Alberta and British Columbia PIPA statutes, and the applicable laws of every Canadian province and territory.

Our Privacy Officer is Eugene Noé Kashiba, Director, reachable at enoekash@safehavenprotectioninc.com or 613-608-4416.

2. Information we collect

  • Identity and contact details: name, email, phone, address, company.
  • Engagement details: request description, sites to protect, schedules, documents you provide.
  • Payment data: processed by our payment providers; we do not store full card numbers.
  • Job applications: résumé, security licence, references.
  • Technical data: IP address, browser, pages visited, cookies (see our Cookie Policy).
  • Messages sent through forms, live chat, TikTok, Facebook, Instagram or WhatsApp.
  • For investigations, surveillance or background checks: information about third parties, collected only for a legitimate mandate and within the law.

3. Purposes

We use this information to answer enquiries, prepare quotes, deliver and invoice services, recruit, meet legal and licensing obligations, secure our systems and, with your consent, send marketing communications.

4. Consent

We obtain consent at collection unless the law allows otherwise (e.g. investigating a breach of contract or fraud). You may withdraw consent at any time, subject to legal or contractual limits.

5. Disclosure

We never sell your information. We may share it with authorized employees and subcontractors, service providers (site hosting, payments, email, CRM), our legal advisers and insurers, or authorities where required by law. Every provider is bound by a confidentiality agreement.

6. Transfers outside Quebec and Canada

Some providers may store data in the United States or elsewhere. Before any transfer we complete a privacy impact assessment as Law 25 requires. Data may then be accessible to authorities in that country.

7. Retention

We keep information only as long as needed for its purpose and legal requirements (generally 7 years for accounting and investigation files), then securely destroy or anonymize it.

8. Security

Encryption, access controls, multi-factor authentication, staff training and confidentiality agreements protect your information.

9. Privacy breaches

If a breach creates a real risk of significant harm, we will notify affected individuals, the Office of the Privacy Commissioner of Canada, the Commission d'accès à l'information du Québec or the relevant provincial commissioner, and keep a breach register.

10. Your rights

You may request access, correction, withdrawal of consent, cessation of dissemination or de-indexing (Quebec) and, where applicable, data portability. We respond within 30 days. Information tied to an ongoing investigation may be withheld where the law allows.

11. Automated decisions and AI

If a decision about you is made solely by automated processing, we will tell you and you may submit your observations to a person.

12. Minors

Our site is not directed to anyone under 16 (14 in Quebec for consent). We do not knowingly collect their information without a parent or guardian's consent.

13. Complaints

Contact our Privacy Officer first. You may also contact the Office of the Privacy Commissioner of Canada, the Commission d'accès à l'information du Québec, or the Information and Privacy Commissioner of Alberta or British Columbia.
